Getting started in Xactimate One

What is Xactimate One?

Xactimate One is an online platform that provides an all-in-one claims management solution. Its simple, yet powerful features allow you to manage the entire life cycle of insurance claims.

To give you a general overview of what it can do for you or your company, we compiled some of the basic features into this getting started guide.

You will need Admin rights to access most of the features in this guide.

Manage account settings

An account is a virtual network that allows you to share and communicate securely with other members of your organization. Accounts are customized with specific configurations and settings that fit your workflow.

To access your company's account settings, click Admin in the left-hand navigation and select Account Settings. From Account Settings, you can view key account information on the Info tab, specify which locations you work in on the Service Area tab, and select which services you provide on the Services tab.

Manage claim settings

Claims are highly customizable in Xactimate One. You can specify the currency and available languages, hidden and required information fields, necessary forms, participant role types, peril and cause of loss options, custom depreciation groups, and coverage settings.

To access your company's claim settings, click Admin in the left-hand navigation and select Claim Settings.

Add service level agreements

You can set Service Level Agreements (SLAs) on specific tasks to ensure your employees and vendors are complying with their business objectives and delivering quality customer service. Participants can see which tasks have SLAs associated with them, when they are due, and whether or not they have met the time requirements of the SLAs.

Connect with vendors

The Vendor Management page allows you to keep track of the companies and contractors that you work with as well as manage the parameters of your arrangement with them. After you invite a vendor to work with you and they accept, they are added to your list of vendors and you are able to assign work to them.

To access Vendor Management, click Admin in the left-hand navigation and select Vendor Management.

Manage users

If you have Admin rights, you can add, edit, or delete users in your account. You can also grant rights to users via user groups and set expiration dates for their access.

To add a user:
  1. Click Admin in the left-hand navigation.
  2. Select Users.
  3. Click Add . The Add User(s) drawer opens.
  4. Type one or more email addresses in the Email address field.
To add multiple users, press Enter after each email address you type. You can also drag-and-drop a CSV file.
  1. Select a user group from the User Group menu. This gives the user the rights associated with that group.
  2. Select the Is Active check box to give the user access to your account. You can clear this check box if the user is no longer an active participant or if you need to remove their access for any other reason.
  3. If you want the user to have access to your account for a limited time, select an expiration date from the Access Removed On field.
If no date is set, this field displays No Expiration.
  1. Select the user's preferred language from the Language menu.
  2. Click ADD USER. An email invitation is sent to each user. The email includes a link to create an Xactimate One account for users that don't already have one.

Manage user rights

In order to grant rights to a user, you must first create a user group that has the desired rights. You can then add the user group to the user. You can create user groups with rights for each type of user (structural, contents, supervisors, or field workers). Each user can only be assigned to one user group at a time.

To create user groups, click Admin in the left-hand navigation and select User Groups.

Receive Notifications

You can receive multiple types of notifications in Xactimate One. When you receive one, a message box appears in the top-right corner of the page with the notification type and received time. The notification bell also updates with the number of unread notifications. To view the full notification, click the message box or the notification bell. This opens the Notifications panel.

The Notification panel displays the 25 most recent notifications.

  • You can click Show More to open the next 25 notifications.
  • You can click the x in the top-right corner of a notification to remove it, or you can click Dismiss All to remove all notifications.
  • You can click History to view all notifications.

Notification types

Notifications are divided into five types:

  • Xactware: Official announcements from Xactware. Click the notification to view more information in a new browser tab.
  • Project: Notifications related to specific projects. Click the notification to go to the project.
  • Xactware ID: Notifications related to your Xactware ID. Click the notification to go to the Account Settings page.
  • Message: Notifications from administrators. Click the notification to mark it as read. If an attachment is included, it opens in a new browser tab.

Messages from administrators

Administrators can send notifications to the users in their account.

  1. Click Admin in the left-hand navigation.
  2. Select Admin Notifications.
  3. Click Add  at the top of the page. The Add Notification panel appears.
  4. Select a recipient group from the Recipients menu: All Users or User Groups.
If you select User Groups, you are then prompted to select a user group.
  1. Enter the notification text in the Notification field. 
  2. If you need to include additional information, enter a URL or upload an attachment.
Only one attachment can be added to a notification.
  1. Click SEND.

Create a claim

Xactimate One helps you manage all aspects of a claim, including its creation, settings, and participants.

My dashboard

Xactimate One displays all of your claims in an organized, easy-to-use dashboard. Each of the four tabs across the top of the page separate your claims by status. You can click each tab to view a list of your claims in each category:

  • Invites: the claims you are invited to participate in
  • In Progress: the claims you are currently working on
  • Reviews: the claims that are ready for you to review and the claims that you reviewed
  • Closed: the claims you worked on that are now closed

To view your personal dashboard, click My Dashboard in the left-hand navigation.

Audit log

If you have the appropriate rights, you can view an audit log of all changes that are made within your account. This includes changes to Users, User Groups, Vendor Management, Transactions, Account Settings, Service Areas, and Project Settings.

To access the Audit Log page, click Admin in the left-hand navigation and select Audit Log.
